# Import your contacts

A CSV or Excel file, with a template to download.

- Role: Manager
- Duration: 3 min
- On: Web, Mac
- Learning Centre: https://callizy.ca/en/apprendre/importer-contacts
- Open this screen in Callizy: https://app.callizy.ca/en/dashboard?view=conversations

## Before you start

- Be a manager of the Callizy account: only managers can import.
- A CSV or Excel (.xlsx) file, one row per contact, 5,000 rows at most.

## Step by step

7 steps, about 3 min.

Screenshots show Callizy in French. Button names are given in English.

### 1. Open the import (10 s)

In the menu, click **Contacts**, then **Import**, at the top right. The address book is empty? The **Import a file** button is in the middle of the screen.

Menu: Contacts › Import

### 2. Prepare the file (1 min)

Not sure about the format? Click **Download a sample file**: it shows every column Callizy reads. Only the phone number is required. The others: first name, last name, email, company, title, address, city, province, postal code, country, website, phone 2, status and tags.

### 3. Choose the file (10 s)

Drop it in the box, or click to choose it. Callizy reads it and shows a preview. Nothing is saved yet.

### 4. Read the preview (30 s)

It counts the **new contacts**, the **existing contacts completed (nothing is overwritten)**, those **already up to date**, the **duplicates in the file** and the **rows rejected**. Each rejected row is named, for example “Row 12: no phone number”.

### 5. Keep your extra columns (20 s)

A column matches no field, for example “Mileage”? Check it: it becomes a contact property, filled in for each contact. Left unchecked, it is ignored.

### 6. Import (10 s)

Click **Import 120 contacts**: the number follows the preview. A message confirms, for example “118 contacts added, 2 completed.”

### 7. Find them (10 s)

In **Contacts**, open the **Source** filter and choose **Import**.

## Key points

- A number already in the address book is never duplicated: its empty fields are filled in, nothing is overwritten, and its new tags are added.
- A number found twice in the file only counts once.
- An invalid email or website is left empty; the row still goes through.

## Settings

- **Status and tags**: Status column: prospect, lead, client (or customer) or inactive. Tags column: separate them with a comma, a semicolon or a vertical bar.
- **French or English columns**: Headers work in both languages: phone or téléphone, company or entreprise, city or ville… Accents and capital letters don’t matter.
- **Address in pieces**: City, province, postal code and country are joined into the contact’s address. An export from Google or Outlook works as is.
- **Export**: The **Export** button, next to it, downloads the address book as a CSV, with the current filters.

## Not working?

### Callizy shows “This file can’t be read. Save it as .csv or .xlsx.”

1. In Excel or Numbers, save the file as .csv or .xlsx, then try again.

### Callizy shows “The file has no rows.”

1. The first row holds the column names; the contacts go below it.

### Callizy shows “5,000 rows at most per file.”

1. Split the file into several, then import them one by one.

### Some rows are rejected

1. “no phone number”: the phone cell is empty.
2. “invalid phone number”: digits are missing. Canada and the United States need 10.

### The Import button doesn’t show

1. Only a manager can import. Otherwise, add your contacts one by one with **New contact**.

## Frequently asked questions

### Will a contact already in Callizy be overwritten?

No. Callizy recognizes it by its number and only fills in its empty fields.

### Can I back out after the preview?

Yes: **Cancel** or **Another file**. Nothing is written before the **Import** button.

### Can my Google contacts come in on their own?

Yes, with the integration: see [Google Contacts](https://callizy.ca/en/apprendre/google-contacts).
