# Organize your contacts

Tags, statuses and custom properties.

- Role: Everyone
- Duration: 3 min
- On: Web, Mac
- Learning Centre: https://callizy.ca/en/apprendre/organiser-contacts
- Open this screen in Callizy: https://app.callizy.ca/en/dashboard?view=conversations

## Before you start

- Contacts in the address book: created on each call, or imported.
- To create a property: be a manager. Everyone can fill it in.

## Step by step

6 steps, about 3 min.

Screenshots show Callizy in French. Button names are given in English.

### 1. Open the address book (10 s)

In the menu, click **Contacts**: a table with **Name**, **Company**, **Phone**, **Tags**, **Status**, **Last Contact** and **Source**.

Menu: Contacts

### 2. Set a status (10 s)

Click a contact’s row: their contact page opens on the right. Choose their **Status**: Prospect, Lead, Client or Inactive.

### 3. Add tags (20 s)

In **Tags**, type a word, for example VIP, then Enter. A contact can have several.

### 4. Create a property (30 s)

Manager: at the bottom of **Contact Details**, click **Add a property** and choose its type: **Text**, **Number**, **Date**, **Checkbox** or **Link**. Name it, for example “Vehicle model”, then Enter. It shows on every contact page; anyone fills it in with a click.

### 5. Filter (20 s)

At the top of the table, **Tags**, **Status** and **Source** filter the list; the search finds a name or a number. **Clear filters** resets everything.

### 6. Act on several contacts (30 s)

Check some rows: a bar appears. **Add a tag**, **Remove a tag** or **Change status** for the whole selection. A manager can also **Archive**.

## Key points

- The status says where the relationship stands; tags describe the contact.
- A property created by a manager shows on every contact page.
- An archived contact comes back on its own if they call or text again.

## Settings

- **Sort**: The menu to the right of the filters sorts by **Recent activity**, **Recently added**, **Name (A-Z)** or **Company (A-Z)**. Callizy remembers your choice.
- **Properties as columns**: The first three properties also show as columns in the table.
- **Archived contacts**: The **Archived** button shows hidden contacts. A manager checks them, then clicks **Restore**.
- **Source**: Where the contact came from: **Inbound call**, **Outbound call**, **Website**, **Referral**, **Added manually** or **Import**.

## Not working?

### Callizy shows “This property already exists.”

1. A property already has this name: use it, or pick another name.

### Callizy shows “50 properties at most.”

1. Delete a property you no longer use: hover over it, then click the trash icon.

### Callizy shows ““Mileage”: value not recognized.”

1. The value doesn’t match the type: a number for a Number property, a web address for a Link property.

### Callizy shows “Only a manager can do this.”

1. Archiving and restoring are for managers only.

### Callizy shows “No contact matches”

1. Click **Clear filters**.
2. The contact may be archived: click **Archived**.
