# Create a reference table

Prices, lead times, availability: what the agent looks up instead of guessing.

- Role: Manager
- Duration: 8 min
- On: Web, Mac
- Learning Centre: https://callizy.ca/en/apprendre/table-de-reference
- Open this screen in Callizy: https://app.callizy.ca/en/manager?view=ai-agents

## Before you start

- Your AI receptionist: see [Create and test your AI receptionist](https://callizy.ca/en/apprendre/creer-sa-receptionniste).
- Your data: prices, lead times or availability. A .csv file if you have many rows.

## Step by step

7 steps, about 8 min.

Screenshots show Callizy in French. Button names are given in English.

### 1. Open the tables (20 s)

Open your agent, **Actions** tab, then **Reference tables**. Click **Manage tables**, then **New table**.

Menu: Administration › AI voice agents › your agent › Actions › Reference tables › Manage tables

### 2. Name it and say when to use it (30 s)

At the top, the table’s name: for example Rates. **When the agent should look in this table**: for example “whenever someone asks for a price or a lead time”. This decides when the agent looks here.

### 3. Say what the agent asks (2 min)

Under **What the agent asks**, one column per question, in the order it asks them. For each one, a name and a type: **Free answer**, **One choice from a list**, **A year or a number**, **An exact number**, **Yes or no** or **Customer address**. **Required**: it always asks it before searching.

### 4. Say what the agent reads (1 min)

Under **What the agent reads**, the answer: **Text**, **An amount in dollars** or **A number**. The blue banner sums up what the agent will do. Click **Create table**.

### 5. Fill in the rows (2 min)

**Rows** tab: one row per case. Type in the bottom row, then Enter. A range is written 2016-2021. An empty criterion cell matches every value. Many rows? **Import** a .csv file whose first line repeats the column names.

### 6. Write the answer (1 min)

**Answer and agents** tab. **Sentence the agent reads**: type @ to insert a column, for example “For @Type of service: @Rate. Taxes extra.”. **Text message sent to the caller**: on to start. **If no row matches**: what the agent says when it finds nothing.

### 7. Check the agent and try it (1 min)

Under **Agents that use this table**, check your agent. **Try without calling**: type what a caller would say, then **Look up**. Close the panel and click **Update**, at the top of the agent’s page.

## Key points

- The agent does not guess: it reads the sentence of the row it found, word for word, adding nothing and rounding nothing.
- It recognizes a close value, for example “Sivic” for Civic. When in doubt, it asks the caller to confirm.
- Several possible rows? It asks the question that tells them apart.
- The text goes to the caller’s number, from the agent’s number.
- An existing table saves on its own. Rows are used from the next call.

## Settings

- **One choice from a list**: Under **Details**, **Possible values**: type a value, then Enter. Click a value to add other ways to say it, for example house, home.
- **How to ask the question (optional)**: Under a column’s **Details**: a hint for the question, for example “Ask whether it is urgent.”.
- **A price based on distance**: On a new table, **Trip fee by address**, then **Use this template**. The agent asks for the address; the distance, the driving time and the city are calculated from your **Starting address**. A distance band is written 0-10.
- **Lookups**: **Lookups** tab: this week’s requests and the **Rows you are missing**. **Add this row** opens the **Rows** tab, with the criteria already filled in.

## Not working?

### Callizy shows “Give the table a name.”

1. Type a name at the top, then **Create table**.

### Callizy shows “No column in the file matches the table columns. Check the first line of the file.”

1. The first line of the file must repeat the column names. Accents and capital letters do not matter.

### A row is refused at import

1. Another row already has the same criteria: edit the existing row instead.
2. Write a range as 2016-2021.

### The agent does not look in the table

1. Check the agent under **Agents that use this table**.
2. Then, on the agent’s page, click **Update**.
3. Make **When the agent should look in this table** more precise.

### The agent says it does not have the information

1. **Lookups** tab, **Rows you are missing**: add the requested row.
2. A value outside all your ranges finds no row.
