Voicemails and texts in the inbox
In this video · 6 chapters

Video in French with English subtitles. The English version is coming.

Before you start

  • Your Callizy account.
  • To text the United States or from a toll-free number: a registration done by your manager.
  • For Assign, Internal note and Done: the Team plan.

Step by step

5 steps, about 3 min

Screenshots show Callizy in French. Button names are given in English.

  1. 1

    Write your message

    30 s

Open the client’s conversation. Below the thread, Text is already selected: write your message.

    Open this screen in Callizy
  2. 2

    Attach a file or a ready-made reply

    20 s

The paper clip, Attach a file, adds a photo or a PDF, up to 5 MB, or a video, up to 75 MB. Type a slash, “/”, in the empty field: your Saved replies appear.

  3. 3

    Send

    10 s

Press Enter; Shift + Enter starts a new line. The text goes out from the business number and is added to the thread.

  4. 4

    Work as a team

    30 s

With the Team plan: Assign, then Assign to me, shows who is handling the conversation. Internal note writes to the team, with @ to mention a colleague, then Post note: the client does not see it. The Mine and Mentions filters find what concerns you.

  5. 5

    Close the conversation

    10 s

At the top of the conversation, click Done (Team plan): it leaves the list. If the client texts or calls you again, it comes back; Reopen also brings it back.

Key points

  • You reply from the business number, never from your cell phone.
  • The reply stays in the thread, in view of the whole team.
  • To the United States or from a toll-free number, a banner warns you if a registration is missing.

Not working?

Callizy shows “Text not sent”
  1. Read the rest of the message: a US number, or sending from a toll-free number, requires a registration. Your manager does it in the Trust center: see Texts to the United States and from a toll-free number.
  2. Otherwise, check the client’s number.
Callizy shows “This recipient has unsubscribed from your messages”
  1. The client asked to stop receiving your texts: call them instead.
Callizy shows “This number cannot receive text messages”
  1. It is often a landline: call them instead.
Callizy shows “Message too long (max 1600 characters)”
  1. Split the message into two texts.
Callizy shows “file too large”
  1. Photos and PDFs: 5 MB at most; videos: 75 MB at most. Make the file smaller, then attach it again.

Video transcript

Voicemail and texts. All in the same inbox. Here's the result: Sophie Lavoie's voicemail, transcribed, and your text reply, in the same conversation. All you need is your agent account. Voicemail transcription is already on: it's the default setting. In the menu, “Inbox”. Two tabs: “Conversations”, one per customer, and “Calls”, the log of your calls. The filters: “All”, and “Unread”, with its counter. Sophie Lavoie is in bold: she left you a message. Click her conversation. The “Voicemail” is here, with its length. Below it, the transcript: read what was said, without listening. It's written in the language that was spoken. Further up, your earlier exchanges. Calls, texts, voicemail: one thread per customer. To listen, click the play button, just above. Reply with a text. Under the thread, “Text” is already selected. Type your message. The paperclip attaches a photo, a PDF or a video. Type a slash: your saved replies. Enter. The text goes out from the business number. To the United States, or from a toll-free number, texting first requires registration: a banner lets you know. Remember one rule. You reply from the business number, never from your mobile phone. And the reply stays in the thread, in view of the whole team. Working together, with the Team plan: “Assign”, to say who's handling it. “Internal note”, to write to the team: Sophie doesn't see it. And the “Mine” and “Mentions” filters. One last step, also with Team: “Done”. The conversation leaves the list. If Sophie texts or calls back, it comes back. Next: the customer's contact page, notes and tasks. Callizy, the phone that answers when you can't.Read the full transcript
