Connect Clio

Calls, voicemails and texts on the Clio matter, with their billing.

Role : ManagerTeam and Business plansDuration : 6 minOn : Web

What the integration does

Callizy connects your phone to Clio Manage. Every call and every voicemail becomes a phone communication on the contact, tied to their most recent open matter, with the summary, the transcript and the recording. Texts received and sent too.

If you turn it on, Callizy prepares the billing: a time entry for each call, at the lawyer’s rate, and a flat-rate line for each text. Recordings go into the matter documents, and Clio contacts come into the Callizy address book.

Before you start

  • Be the owner or a manager on the Callizy account.
  • A Clio admin account.
  • The Team or Business plan. During the free trial, everything is open.
  • To bill texts: flat-rate activity categories in Clio.

Step by step

10 steps, about 6 min
  1. 1

    Connect Clio

    Open Callizy integrations

    30 s

In Callizy, open Administration, then Settings and Integrations. Click the Clio card.

    Administration/Settings/Integrations

    Open this screen in Callizy
  2. 2

    Pick your Clio account region

    20 s

Under Where is your Clio account hosted?, look at the Clio address in your browser: ca.app.clio.com = Canada, app.clio.com = United States. There are also Europe and Australia.

  3. 3

    Connect and accept in Clio

    30 s

Click Connect Clio. The Clio screen opens: sign in with an admin account and accept. Back in Callizy: “Clio is connected. The “Call with Callizy” action is on your records.” One person connects, for the whole firm.

  4. 4

    Choose what goes to Clio

    The lines

    20 s

Under Lines sent to Clio, uncheck a line so that none of its calls, voicemails or texts go to Clio. A new line is checked automatically.

  5. 5

    The switches

    30 s

On by default: Calls and voicemails on the contact, Texts on the contact, Create unknown contacts, Import Clio contacts and Recordings in the matter. What each one does is explained below, under “Settings”.

  6. 6

    Bill call time

Turn on “One time entry per call”

    20 s

Off by default: you decide what gets billed.

Every call answered by someone at the firm becomes a time entry on the matter, with the summary as the note. Billable if the matter is billed hourly, non-billable if it is flat fee or contingency. Clio applies the lawyer’s rate: Callizy sends no amount.

  7. 7

    Pick the rounding

    10 s

Under Round billed time to: 6 minutes (0.1 h), the default, 15 minutes (0.25 h) or To the minute. A started block counts: a 95-second call gives 6 minutes.

  8. 8

Link each member to their Clio account

    1 min

Under Time for each member, pick the Clio account of each team member. The time goes to the member who answered or placed the call, at their rate. With No Clio account (no time), their calls are logged with no time.

  9. 9

    Bill texts

    Create flat-rate categories in Clio

    1 min

In Clio, Settings, then Activity categories: for example “Text received” at $2 and “Text sent” at $4, at a flat rate. Callizy only lists flat-rate categories.

  10. 10

Turn on “One billed line per text”

    30 s

First turn on Texts on the contact. Under Clio categories for texts, pick the category for Text received and the one for Text sent, or Do not bill. Each text becomes a line on the matter, and Clio calculates the amount.

What you’ll see

The communication on the matter, with the summary and the time recorded.
The call’s time entry, ready to bill.

Key points

  • One person connects Clio, for the whole firm.
  • Calls, voicemails and texts go on the contact’s most recent open matter, otherwise on the contact.
  • Billing is off by default: a time entry per call and a flat-rate line per text, if you turn them on.
  • Clio is the reference: Callizy creates missing contacts, but never edits an existing Clio record.

Settings

You can change them at any time, without reconnecting anything.

Calls and voicemails on the contact
Every completed or missed call and every voicemail becomes a phone communication: who called whom, the duration, the summary, the transcript and the recording link. On by default.
Texts on the contact
Every text received or sent becomes a “Text received” or “Text sent” communication, on the matter or, without a matter, on the contact. Only for a contact already in Clio. On by default.
Create unknown contacts
After a real conversation, with someone at the firm or the AI agent, or after a voicemail, a caller missing from Clio becomes a contact, with the Callizy name when there is one. A missed call or a text alone does not create one. On by default.
Import Clio contacts
Clio contacts with a phone number come into the Callizy address book when you connect, then every contact created or edited in Clio is updated there. A contact deleted in Clio is archived in Callizy. On by default.
Recordings in the matter
Every call recording and every voicemail is saved in the matter documents, in a “Call recordings” folder, or on the contact without a matter. It plays without leaving Clio. On by default.
One time entry per call
For every call answered by someone at the firm, on the matter, rounded to the chosen block, at the member’s rate. Never for a missed call, a voicemail or an AI agent call. Off by default.
One billed line per text
A line at the flat rate of the chosen category, for each text received from a client or written in Callizy by someone at the firm. Never for an AI agent text, nor for a text sent through the API, Zapier or an AI assistant. An open matter is required. Off by default.
Clio Grow: new callers
After a call answered by the AI agent, a new caller looking for a lawyer lands in your Clio Grow lead inbox, with a summary and a link to the call, with no contact in Clio Manage. Paste the inbox token (in Clio Grow: Settings > Integrations > Inbox Token), then turn on Send new callers to Clio Grow. Off by default.

Not working?

No time entry after a call
  1. Turn on “One time entry per call”.
  2. The call must have been answered by someone at the firm: no entry for a missed call, a voicemail or an AI agent call.
  3. The contact must have an open matter.
  4. The member must be linked to their Clio account, under “Time for each member”.
Callizy shows “Clio refused to log time for…”
  1. In Clio, the account that connected Callizy must be allowed to enter time for other users.
  2. The call stays logged on the matter, with no time.
Callizy shows “No flat rate category in Clio. Create one in Clio, then come back here.”
  1. In Clio, Settings, Activity categories: create a flat-rate category, for example “Text received”.
  2. Come back to Callizy and pick it under “Clio categories for texts”.
A text does not show in Clio
  1. The contact must already be in Clio: a text alone never creates a contact.
  2. Check “Texts on the contact”, and that the line is checked under “Lines sent to Clio”.
Callizy shows “Saving recordings in the matter requires reconnecting Clio.”
  1. Click Reconnect Clio and accept again. Meanwhile, each recording link stays in the communication.
Callizy shows “Connection cut by Clio.”
  1. Access was removed in Clio. Click Reconnect Clio.
The connection fails
  1. First pick the right region: ca.app.clio.com = Canada, app.clio.com = United States.
  2. “This Clio account is already linked to another Callizy company”: a Clio account links to only one Callizy company.

Frequently asked questions

Will it create duplicates in Clio?
No. Callizy looks the number up in Clio before writing: the call lands on the existing record. A contact is created only when the number is unknown, after a real conversation or a voicemail, and only if “Create unknown contacts” is on.
Does Callizy edit my Clio records?
No. Clio is the reference: Callizy creates missing contacts, but never edits an existing record. The other way around, changes in Clio update the Callizy address book.
Can I change a call’s matter?
Yes. In the call details, Clio matter, when the client has at least two open matters, or when none was picked. The communication and the time entry follow.
Who gets a text’s line?
A received text goes to the responsible attorney on the matter. A sent text goes to the Clio account of the person who wrote it; without a linked account, no line.
When do the summary and recording arrive?
The call shows up as soon as it ends. The summary, transcript and recording follow within a minute. A call of a few seconds has no summary.
Can the AI agent book appointments in the Clio calendar?
Not yet: the AI agent books appointments in Google Calendar, Microsoft 365, Square or Wix.
What does the call button open?
The Callizy web phone, on the contact’s number, in a new tab. You need to be signed in to Callizy in that browser. Clio ties the action to the person who connected: for now, only that person sees it; the others call from Callizy.
Is it included in my plan?
Yes, in the Team and Business plans, at no extra cost. The Solo plan does not include it.
What happens if I disconnect Clio?
Calls and texts stop going on records, and Clio contacts stop flowing into Callizy. What is already in Clio and in the Callizy address book stays.
