Add a voice menu (“press 1”)

The DTMF menu block: offer keypad choices and route each key.

Role : ManagerDuration : 5 minOn : Web, Mac

Before you start

  • Be a manager on the Callizy account.
  • A Callizy number: see Buy a local or toll-free number.
  • Know where each choice goes: a team, one person, voicemail or an AI agent.

Step by step

7 steps, about 5 min

The flow editor works on the web or on Mac, not in the mobile apps.

  1. 1

    Open the number’s flow

    20 s

In Numbers, click your line. Under Who answers, click Edit flow. No flow yet? Click Create custom flow: see Create your first call flow.

    Administration/Numbers/your number/Edit flow

    Open this screen in Callizy
  2. 2

    Add the menu

    30 s

Drag DTMF menu, from the Interaction family, from the left. Or click the + at the end of an output. Place it where the caller chooses, for example on the Open output of business hours.

  3. 3

    Write the message

    1 min

Click the block: its settings open on the right. Under Menu message, Text (TTS) is selected. Write what Callizy reads, for example “For support, press 1. For sales, press 2.”, then choose the TTS voice. Have your own recording? Choose Audio and drop an MP3, WAV, OGG or M4A file, 10 MB max.

  4. 4

    Create the choices

    1 min

Under Options, each row is a key and its Label, for example 1 and “Support”. The menu starts with two. Add option creates another; the trash can removes it. Each option becomes an output of the block, named after its label.

  5. 5

    Connect each output

    1 min

Drag each output to what comes next: Route to team, Route to agent, Voicemail or AI agent. Also connect No answer and Invalid input, for example to the team or to voicemail.

  6. 6

Set the time and the tries

    30 s

Time to press a key (seconds): 20 to start, from 3 to 30. It starts after the message. Tries after a wrong key: 3 to start, from 1 to 5.

  7. 7

    Test it

    1 min

Callizy saves on its own, a few seconds after each change. On the number’s page, Who answers shows “Phone menu” and the number of options. Call your number and try each key.

Key points

  • One key, one digit from 0 to 9: ten choices at most.
  • An empty output hangs up the call. Connect every key, and No answer.
  • Say the same keys in the message as in Options.

Settings

You can change them at any time, without reconnecting anything.

No answer
The caller presses nothing within the time: the call takes this output. Left empty, the call hangs up.
Invalid input
The caller presses a key that is not in the menu. Output connected: the call takes it right away. Output empty: Callizy plays the menu again, up to the number of tries you chose, then hangs up.
A language menu
For “Pour le français, faites le 9”, the Language select block, in the same family, offers one key per language.

Not working?

The call hangs up after the menu
  1. Look for an empty output: every key, No answer and Invalid input need something next.
  2. A two-digit option, like 10, does not work: one key, one digit.
The caller does not hear the menu
  1. In Text (TTS), check that the message is not empty.
  2. In Audio, check that a file was dropped.
Callizy shows “Format not supported. Use an MP3, WAV, OGG or M4A file.”
  1. Convert the recording to MP3, then drop it again.
Callizy shows “File too large: 10 MB max.”
  1. Shorten or compress the recording, then drop it again.
