Create your first call flow

Video in French with English subtitles. The English version is coming.

Before you start

Step by step

6 steps, about 6 min

The flow editor works on the web or on Mac, not in the mobile apps.

  1. 1

    Create the flow

    30 s

Open Numbers and choose your line. Under Who answers, click Create custom flow, then give it a name, for example “Front desk”.

    Administration/Numbers/your number/Create custom flow

    Open this screen in Callizy
  2. 2

    Add business hours

    1 min

Drag Business hours from the left, or click the blue + at the end of the Start output: Callizy suggests the logical next step and connects the block. This block has two outputs, Open and Closed.

  3. 3

    Ring the team

    1 min

On the Open output, add Route to team. Click the block: its settings open on the right. Choose the team that should ring.

  4. 4

    Play music while callers wait

    1 min

In the Route to team settings, turn on Keep callers on hold if no one answers. Choose the maximum wait and, if you like, your own music. As soon as a colleague is free, their phone rings. The No answer output becomes Time's up.

  5. 5

    End with voicemail

    1 min

On the Time's up output, add Voicemail. Also drag the Closed output of the business hours block to the voicemail. The Auto-arrange button tidies up the flow.

  6. 6

    Check, then call

    1 min

Callizy saves on its own, a few seconds after each change, and the flow applies to the number right away. Back on the number, Who answers sums up the path in plain words. Call your number and listen.

Key points

  • An empty output, and the call stops there. That is normal after “Answered” or “Message left”; everywhere else, connect a next step.
  • Each block has outputs: the call takes the one that matches what happened.
  • Nothing to save: the flow applies a few seconds after each change.

Not working?

The call stops partway through
  1. Look for an empty output: only “Answered” and “Message left” can stay empty.
  2. Connect the missing next step, then call your number again.
Nobody rings during business hours
  1. Click the “Business hours” block and check the company hours.
  2. Click “Route to team” and check the team you chose.

Frequently asked questions

Can I add a “press 1” menu?
Yes, with the DTMF menu block in the Interaction family: see Add a phone menu.
What if I don't have a team?
The Route to agent block rings a single person. Teams are included from the Team plan up.
Can the AI agent answer instead of voicemail?
Yes: the Artificial intelligence family has the AI agent block, which answers for you.

Your first call flow, in just a few minutes. Here's the flow we're going to build. During business hours, your team's phones ring. Everyone is busy. The caller waits with music. No one frees up, or it's after hours. They leave a message. To do this, you need a Callizy number and a team. To start, go to Numbers. Choose your line, then, under “Who answers”, click “Create custom flow”. On the left, your toolbox, sorted into families. Control: the start and the end of the call. Conditions: they route the call based on the time, on who's calling, or on the number dialed. Interaction: you talk to the caller. A message, a keypad menu, a language choice, or a text. Routing: you ring someone. A team, a person, an outside number, the call queue, or voicemail. And the AI agent, which answers for you. Each block has outputs. The call takes the one that matches what happened. In the center, your flow. Give it a name, for example “Reception”. To add a step, drag it from the left to the center. Then connect it. Draw an arrow from the Start output. Even faster: the blue “+” at the end of an output. Callizy suggests the logical next step. And the block is added, already connected. Business hours has two outputs: Open and Closed. Click a block. Its settings open on the right. Here, your company's hours. On “Open”, add “Route to team”. Choose the team that should ring. Everyone is busy. On “No answer”, add a call queue. Your customer waits with music. As soon as a colleague is free, their phone rings. Choose the maximum wait. And, if you like, your own music. No one freed up in time. On “Time's up”, add voicemail. The “Auto-arrange” button tidies up your flow. And for evenings, drag the “Closed” output to voicemail. Remember one rule. An empty output, and the call stops there. After “Answered” or “Message left”, that's expected. Everywhere else, connect a next step. Callizy saves on its own, a few seconds after each change.
